The 2 Ways Of Adding Evidence
- How to Create New Evidence
Overview
There are two ways to add evidence to related framework tasks in the platform:
-
Option 1: Sidebar → Cyber Security → Tasks
-
Option 2: Sidebar → Audit Room → Evidence
Both options allow you to perform the same evidence addition actions - the choice depends on your preferred workflow.
Option 1: Sidebar → Cyber Security → Tasks
-
Navigate to:
Sidebar → Cyber Security → Tasks
-
Use the available filters to narrow down and locate the required tasks.
-
Once you find the relevant task:
-
Click the three-dot menu next to the task.
-
Select “New Evidence”.
-
-
Upload or link the appropriate document as evidence for that task.
This method is recommended when you are working directly with a specific task and want to attach evidence immediately.
Option 2: Sidebar → Audit Room → Evidence
-
Navigate to:
Sidebar → Audit Room → Evidences
-
Use the available filters to locate specific framework requirements or tasks.
-
Create and assign new evidence to the relevant task from this section.
This method is useful when you are managing multiple pieces of evidence at once or working primarily from a documentation perspective.
How to Create New Evidence
-
Click on New Evidence.
-
A new evidence submission form will open..
-
Fill in Evidence Details
When adding new evidence, complete the following fields:
-
The Company and the related Task will be pre-selected automatically.
-
Add clear and detailed comments describing your findings and relevant context.
-
Attach any supporting files, such as documents, screenshots, logs, or system exports.
-
If applicable, set an expiry date for the evidence (e.g., for time-bound policies or certifications).
-
You may also upload a file directly from your Copla Drive if the document is already stored there.
Once all required information has been added, click Save to submit the evidence.
Attachments (Proof of Evidence)
Each evidence submission must include attachments that clearly demonstrate compliance with the specific task requirement.
Acceptable Attachments
-
Documents (e.g., policies, procedures, contracts, internal guidelines)
-
System outputs (e.g., screenshots, logs, configuration exports)
Specifications
To ensure audit readiness, clearly state:
-
Where the evidence can be found (document name, page number, section, clause, or reference number)
-
How the attachment satisfies the requirement
Best Practice Reminders
-
Ensure that every attachment directly maps to the task requirement.
-
Ambiguous, incomplete, or weakly linked evidence may result in rejection and require resubmission.
-
Upload the correct document type (policy, screenshot, log, etc.).
-
Provide clear comments explaining how the evidence supports the requirement.
-
Verify that each Network Security task (and other framework tasks) has appropriate and complete supporting documentation.
