Enter the identity, classification, and cost details for each ICT third-party service provider — these records must exist before you can create contracts.

Register type
The type of register in which this provider record is maintained.
What to enter
Select the register type that applies to this provider record.
This determines which register the provider is associated with in Copla Registry.
Provider's name
The legal name of the ICT third-party service provider as registered in the relevant business register.
What to enter
Enter the full legal registration name as it appears in the business register — not a brand name, trading name, or abbreviation.
Use the alphabet in which the name is registered: Latin, Cyrillic, or Greek.

Criticality Level
An internal classification of this provider's criticality level to support internal audit and compliance records.
What to enter
Select the criticality level that reflects your entity's internal assessment of this provider.
This field supports internal governance and does not map directly to the importance assessment of individual functions.
Provider's name in Latin alphabet
The legal name of the provider transliterated or written in Latin characters.
What to enter
Enter the provider's name in Latin alphabet.
If the name in the Provider's name field is already in Latin alphabet, enter it again here unchanged.
ID type
The type of identification code used to identify this provider.
What to enter
Select LEI for all providers.
For providers established in the EU that are legal persons, EUID can be used instead of or in addition to LEI. For providers that are individuals acting in a business capacity, alternative codes — CRN, VAT, PNR, or NIN — may be used.
NOTE:

For legal persons established outside the EU, only LEI can be used. EUID and alternative codes are not accepted for third-country legal persons.

Only LEI or EUID can be used for legal persons. Alternative codes are only permitted for individuals acting in a business capacity.

ID code
The identification code for this provider corresponding to the ID type selected.
What to enter
Enter the code exactly as it appears in the relevant registry.
A LEI is always 20 alphanumeric characters. An EUID includes a dot separating the country/register code from the company identifier — enter the full code including the dot.
NOTE:
-
If the provider's LEI is genuinely unavailable — for example, for a third-country provider without an LEI — use the best available alternative identifier. The entry will be flagged as a data quality issue but will not cause file rejection if all other fields are complete.

Additional ID type
The type of a second identification code for this provider, where available.
What to enter
Select the type of the additional identifier.
For EU-established legal persons, use LEI or EUID. For individuals acting in a business capacity, alternative codes may be used.
Leave this field empty if no additional identifier is available.

Additional ID code
The second identification code for this provider, corresponding to the additional ID type selected.
What to enter
Enter the code exactly as it appears in the relevant registry.
Leave this field empty if no additional identifier is available.

ICT provider HQ country
The country where the ICT provider's global operating headquarters are located.
What to enter
Select the ISO 3166-1 alpha-2 country code for the country where the provider's headquarters are located.
This is typically the country of tax residence.

Legal person type
Whether this provider is a legal person or an individual acting in a business capacity.
What to enter
Select Legal person for companies, corporations, and other registered legal entities.
Select Individual acting in a business capacity only for sole traders and natural persons providing ICT services in a professional capacity.
NOTE:
The legal person type determines which identifier types are permitted. If you select Legal person, only LEI or EUID are valid as the primary identifier.

Financial reporting currency
The currency used to express the annual cost for this provider.
What to enter
Select the ISO 4217 alphabetic currency code that matches the currency used in your entity's financial statements.
This must be the same currency used across the register for cost reporting.
Annual ICT provider cost
The total annual expense or estimated cost for all ICT services provided by this provider to the reporting company.
What to enter
Enter the monetary value in the reporting currency, in units.
This must represent the total aggregated annual spend with this provider across all contracts. If the exact cost cannot be determined, enter the best available annual estimate.
NOTE:
-
If your entity has multiple contracts with the same provider, the value entered here must equal the sum of the annual costs entered across all those contracts. Copla Registry validates these figures against each other.

Is this provider the ultimate parent company?
Whether this provider is itself the highest parent company in its corporate group.
What to enter
Select Yes if the provider has no parent company above it.
Select No if the provider has a parent company — you will then need to complete the ultimate parent fields below.

Ultimate parent ID type
The type of identification code used to identify the provider's ultimate parent company.
What to enter
Select LEI or EUID.
For ultimate parent companies established outside the EU, use LEI only.

Ultimate parent company's name
The legal name of the ultimate parent company of this provider.
What to enter
Enter the full legal registration name of the ultimate parent company.
If the provider has no parent — because it is itself the ultimate parent — this field reflects the provider's own name.

Ultimate parent's HQ country
The country where the ultimate parent company's headquarters are located.
What to enter
Select the ISO 3166-1 alpha-2 country code for the country where the ultimate parent's headquarters are located.

If the provider is its own ultimate parent, enter the same country as the provider's headquarters country.
