VendrIQ Trial Setup Guide

This guide takes you from an empty workspace to a full working loop, as following the six steps below  gives you a realistic picture of how VendriQ runs day to day.

Before You Start

Copla support sets up your workspace with your login, ready from your first session - one person can complete every step in this guide, with tasks assigned to yourself.

To try task assignment with a colleague, name them at sign-up and Copla support adds them alongside you - contact Copla support whenever you want to add people or adjust roles.

The Sample File

Download the sample vendors file from the Vendors > Import screen; it contains three vendors chosen to show a range of risk profiles:

  • Amazon Web Services (cloud infrastructure, critical tier)

  • Stripe (payments, high tier)

  • OVHcloud (cloud infrastructure, medium tier)

These are real companies with real identifiers, so the import returns genuine company data and live risk signals, while step 2 adds the detail that brings a profile to life.

A separate format template sits on the same screen, ready for the day you import your own vendor list.


STEP 1: Importing Vendors

Open the Vendors area and select Import - the dialog offers a sample vendors file with example data ready to go, so download it and upload it as it is.

VendriQ:

  • reads the identifiers

  • matches each company against public registries

  • enriches the profiles with company data and live risk signals

This gives you three active vendors to work with in one pass.


STEP 2: Building Out a Vendor Profile

Pick one vendor and open it for editing:

  • In Classification, fill in service type, business function, personal data processed, data location, and estimated annual spend, then apply the criticality tags that fit and add custom regulatory tags for your own labels.

  • In Stakeholders / Point of contact, add yourself or another trial user with a name and email; this contact prefills as the questionnaire recipient in step 4.
  •  

    In Contract terms, add a contract with a name, start date, renewal date, renewal clause, annual spend in EUR, and notice period, so renewal reminders populate.

A full profile is what makes the risk view and the questionnaire meaningful.


STEP 3: Reviewing The Risk Signals

Open the Risks tab to see the domain scores, and open the data sources beside the vendor to see where each signal comes from.

The methodology is VendriQ’s own, built on EBA outsourcing guidelines, Basel and BCBS principles, and DORA requirements.

The output is recommendational and yours to adapt, with the final risk judgement staying with you.

The Risks dashboard shows a combined portfolio score, which reads differently from any single vendor’s score found in each vendor’s profile.


STEP 4:  Sending a Questionnaire to Yourself

Open Questionnaires and create a new one - pick whichever template suits you, or build your own from scratch.

On Details, select your vendor and set the recipient to your own name and email so it returns to you.

Keep yourself as the internal stakeholder, and set a deadline to switch on reminders.

The regulatory context modules turn on automatically from the vendor’s criticality tags.

On the Questions step, review the questions, edit the wording, and add any questions you want, then send.

The questionnaire arrives in your inbox, you complete it through the portal, and you submit it - watch the card move across the board from Draft to Sent to Submitted to Approved.


STEP 5: Assigning a Task

Open Tasks, or start from a finding on a vendor, and assign a task to yourself or to a colleague on your workspace.

The assignee signs in, sees the task, and completes it, while the Changelog records each step, so you can follow the full exchange.


STEP 6: Reviewing The Portfolio View

Open the Risks dashboard for the combined portfolio score across your three vendors, then open the Changelog for the audit trail.

Together they show how vendor records, questionnaires, and tasks connect into one system.
